Begin with a knowledge problem people recognize.

Choose an area where questions recur and the source material already exists: product guidance, technical support, a documented process or specialist project knowledge. A focused application gives you a clear way to judge whether an Expert helps.

Decide who needs the answers and which recurring questions currently consume attention.

Name the knowledge owner

Assign responsibility for choosing sources, checking important answers and keeping the underlying material useful.

Agree how to judge value

Compare representative answers with known information. Look for missing context, useful explanations and questions that still need a person.

Reduce dependence on the person everyone asks.

Project history and specialist methods often survive in scattered documentation while the context around them is harder to recover. Start with the material your organization owns or is authorized to use, and make that documented experience easier to question and understand.

KnowScapes does not capture a person’s unwritten knowledge. A useful retention effort starts by documenting what matters and checking whether others can apply it.

Fit the Expert around your existing document storage.

You can start with uploads before connecting a repository. Business provides weekly source checks; Enterprise checks daily. Unchanged files are skipped, while new and changed content is processed.

Connection options depend on what is enabled and configured for the account. SharePoint access means document libraries, rather than every site page, list or Teams conversation. Source permissions and access to an Expert are separate decisions.

Choose the processing environment before admitting sensitive content.

Enterprise offers supported worldwide provider configurations, EU-based processing and internal processing on KnowScapes-operated infrastructure in Germany. The selected boundary covers ingestion, inference and fallback routing.

Personal workload content is permitted only in Enterprise internal Germany processing without external AI processors, subject to the applicable data processing agreement. External configurations are restricted to non-personal content.

Choosing a processing region does not relocate files held by your source-storage provider. Dedicated hardware and on-premise deployments are separate from the published plans.

Know what the subscription covers.

The current plans offer knowledge capacity, answering access, scheduled source checks where included and processing options. They do not include multiple-user accounts, role-based team access or organizational execution policies. Plan the initial deployment around this scope rather than assuming enterprise team controls.

Make the first application small enough to evaluate.

Bring one clearly defined problem, a responsible knowledge owner and a set of representative questions. Expand the sources when the answers show you what is missing.
